Terms and information for using Bivetica Invoice.

How to read this register

These are service providers used for the functions described. Not every provider is a processor for every purpose: payment providers also have their own legal and fraud-prevention duties. Optional features send data only when used or enabled.

Hosting and email

Hawk Host Inc. hosts the Invoice application and its primary database in the United Kingdom and provides service-email infrastructure. UK application hosting does not imply that all email, payment or optional integration processing stays in the UK. Authorised business email connections may use the mail provider chosen by that business. The privacy notice describes hosting and international-transfer arrangements.

Stripe

Stripe processes payments to Bivetica, including card checkout, billing-management sessions, receipts and subscription events. It receives the payer and transaction details needed to process payments and prevent fraud, including device and network information collected on its pages. Stripe processes data under its own privacy notice and applicable service/data terms; its role varies by purpose. Optional Link remembered-payment features are provided by Stripe.

GoCardless

GoCardless processes Direct Debit payments where offered and receives payer contact details, payment references, amounts and currency. Bivetica retains provider identifiers, payment/refund status and event information. Pay by Bank, retry handling and in-app refunds are in sandbox review and are not generally available yet. Its payer privacy notice describes payment, security and regulatory processing.

Document storage and reading

Backblaze B2 stores original expense documents and processed scans in a private European-region bucket. Cropping and local text reading use temporary working files on the application server, removed after processing. Optional AI reading sends selected images to Anthropic only when chosen.

Integrations

Accounting exports or approved connections send the chosen records to the selected provider. HMRC receives authorised VAT data and required fraud-prevention information when its connection is used; live filing is currently disabled.

Contact hello@bivetica.com for information about providers, their functions and relevant transfer safeguards, or to raise an objection concerning processing of your business records. We communicate material changes to account holders as described in the privacy notice and data processing terms.
